Vizlib Teamwork Guides - Private Conversations
With the Teamwork Private Conversations feature, your end users can privately share insights on data visualizations between each other while working on a sheet. A private conversation can be a group chat or a chat with another user. The feature applies only to Vizlib Enterprise. You can activate the feature for Teamwork v3.21.0 and higher using the Enable Private Conversations option in VMC > Teamwork Settings > Streams & Security > Edit Stream.
Important: Vizlib Server saves both comments and logs from private conversations in the database. Admins can access these logs in VMC > Teamwork Settings > Comments Browser & Archiving, server logs files, or the database.
Teamwork Conversation Types
When the feature is activated, there’s an arrow at the top left corner of the Vizlib Teamwork chat. Clicking on the arrow displays a list of conversations. Depending on the viewport, the conversation view may display automatically. You can collapse and expand the view on demand.

There are three types of conversations, and each type is marked with a different icon:

General—involves all users working on a particular sheet. Information shared on this chat is accessible to all users. Before the Teamwork Private Conversations feature, only the General chat was available.

Private conversation with another user—involves the end user and one additional user. Information shared on this chat is accessible only to the participants of the chat.

Private group conversation—involves multiple users. This group chat can contain a maximum of 20 users. Information shared on this chat is accessible only to the participants of the chat.
Private Conversations Operation
The following operation instructions are targeted at end users of the sheet containing Vizlib Teamwork. The instructions apply to the sheet in the view mode.
Start A New Private Conversation
To start a new private conversation, you need to perform the following steps:

If needed, click on the arrow at the top left corner of your Teamwork. The software displays a list of conversations and the New Conversation button.
- Click the New Conversation button. The software displays the Start a new conversation modal.

Enter the name of user(s) you want to add to a private conversation.
- Once you’ve selected all the users you want to add, confirm your choices by clicking the Create button.
Now, you can share insights with other users on the private chat. If you have created a chat with more than one user, you can additionally adjust the conversation.
Configure A Private Group Conversation
When you create a group conversation, you can additionally configure the chat using the options available at the top of the chat window. The following options are available:

Rename conversation

Manage participants—you can add users to the conversation, remove them, or leave the conversation.
Note: All participants of the conversation can rename the conversation and manage participants. There's no conversation owner.
Rename The Group Conversation
To change the name of the conversation, open the private chat and do the following:

Click on the
Rename icon. The Change conversation name field appears.

Type in the new name and confirm with the
Save icon.
The new conversation name displays at the top of the chat and on the conversation list for every participant of this chat.
Add Users To The Group Conversation
To add more users to the existing conversation, open the chat and do the following:

Click on the
Manage Participants icon. The software displays the management options.
- Select the Add Participants option. A text field appears.
- Start typing the name of the user you want to add. The software displays suggestions.
- Select the user by clicking on the user name.
The user of your choice is a participant of the private conversation. Once they are a member of the chat, they can see the entire private conversation.
Remove Users From The Group Conversation
To remove users from the existing conversation, open the chat and do the following:

Click on the
Manage Participants icon. The software displays the management options.

Hover over the name of the user you want to remove. The Remove Participant icon appears.

Click on the Remove Participant icon. The selected user disappears from the participants list.

Apply the changes by clicking on the Save button.
The removed user no longer has access to the private conversation. If you decide to add them again, the user will be able to see the entire conversation.
Leave The Group Conversation
To leave the conversation, open the chat and do the following:

Click on the
Manage Participants icon. The software displays the management options.

Select the Leave conversation option.
You have left the conversation. You no longer have access to information shared on the chat. If you're re-added to the chat, you'll have the access to the entire conversation.
Vizlib Private Conversations Limitations
If you have enabled the Hierarchy Groups feature, the status messages don’t display inside the private chat. The end users aren’t notified if the chat name is changed, or users have been added to the chat.
